RingBird ("we," "us," or "our") operates the RingBird platform, an AI voice agent service for businesses. This Privacy Policy explains how we collect, use, disclose, and safeguard your personal information when you visit our website, use our services, or interact with our AI agent over the phone.

We are committed to protecting your privacy in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Canadian provincial privacy legislation.

1. Information We Collect

We collect the following categories of personal information:

  • Account information — name, email address, phone number, and business details you provide when you sign up.
  • Caller information — phone number, name (if provided during the call), and any information the caller voluntarily shares with the AI agent.
  • Call recordings & transcripts — audio recordings and AI-generated transcripts of calls handled by your RingBird agent.
  • SMS data — phone numbers and message content for follow-up texts sent on your behalf.
  • Usage data — pages visited, features used, device type, browser, IP address, and similar analytics.
  • Payment information — billing details processed securely through our third-party payment provider (Stripe). We do not store credit card numbers on our servers.

We never collect Social Insurance Numbers (SIN), banking details, or information about protected characteristics (race, religion, family status, etc.).

2. How We Use Your Information

  • Provide, maintain, and improve the RingBird platform.
  • Answer inbound calls, qualify leads, and send SMS follow-ups on your behalf.
  • Generate call summaries, transcripts, and lead scores.
  • Process payments and manage your subscription.
  • Send transactional emails (account updates, billing receipts).
  • Respond to your inquiries and provide customer support.
  • Detect, prevent, and address security issues or fraud.
  • Comply with legal obligations and enforce our Terms of Service.

3. Call Recording Disclosure

All calls handled by RingBird are recorded. At the start of every call, the AI agent discloses that the call is being recorded, in accordance with Canadian law. Recordings are used solely to generate transcripts, lead summaries, and to improve service quality.

Call recordings are automatically deleted after 12 months. You may request earlier deletion at any time by contacting us.

4. SMS & CASL Compliance

RingBird only sends SMS messages to callers who have given verbal consent during the call. The AI agent confirms consent before any text is sent. Every SMS includes an opt-out mechanism (e.g., "Reply STOP to unsubscribe") as required by Canada's Anti-Spam Legislation (CASL).

We do not add callers to marketing lists or send unsolicited messages.

5. Sharing & Disclosure

We do not sell your personal information. We may share information with:

  • Service providers — third-party vendors that help us operate the platform (e.g., Twilio for telephony, ElevenLabs for voice AI, Stripe for payments, Supabase for data infrastructure). These providers are contractually obligated to protect your data.
  • Your account subscribers — if you are a caller, the business whose RingBird agent you spoke with receives your call data and transcript.
  • Legal requirements — when required by law, court order, or governmental request.
  • Business transfers — in the event of a merger, acquisition, or sale of assets, your information may be transferred as part of that transaction.

6. Data Security

We use industry-standard security measures including encryption in transit (TLS) and at rest, role-based access controls, and regular security audits. While no system is perfectly secure, we take reasonable steps to protect your information from unauthorized access, disclosure, alteration, or destruction.

7. Data Retention

  • Account data — retained as long as your account is active, then deleted within 90 days of account closure.
  • Call recordings — automatically deleted after 12 months.
  • Transcripts & lead data — retained as long as your account is active.
  • Payment records — retained as required by tax and accounting regulations.

8. Your Rights

Under PIPEDA and applicable provincial legislation, you have the right to:

  • Access the personal information we hold about you.
  • Request correction of inaccurate or incomplete information.
  • Request deletion of your personal information, subject to legal retention requirements.
  • Withdraw consent for the collection or use of your information.

9. Cookies & Analytics

We use essential cookies to keep you logged in and functional cookies to remember your preferences. We may use analytics tools to understand how the platform is used. You can control cookie preferences through your browser settings.

10. Children's Privacy

RingBird is not directed at individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have collected information from a minor, please contact us immediately and we will delete it.

11. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date at the top of this page. If changes are material, we will notify you by email or through a notice on our website.
